Description:

We are seeking a professional, versatile, proactive individual with excellent administrative skills to provide a confidential, streamlined service to the Managing Director and his team of Directors. The successful candidate will be someone with a positive can-do attitude who is comfortable helping wherever needed.

Blisworth, Northamptonshire

 

Position:

Full time, Permanent

 

Responsibilities:                 

  • Provide day-to-day administrative and general support to the Managing Director
  • Respond positively and proactively to work issued directly by the Managing Director and his Direct reports.
  • Act as a point of contact for site staff
  • Scheduling appointments and organising diary entries.
  • Setting reminders for meetings and appointments, act as ‘gatekeeper’ to meeting requests, ensuring adequate time allocation/travel time for meetings.
  • Assist with travel and hotel arrangements.
  • Taking notes at meetings, preparing the minutes and subsequently distributing to all participants.
  • Follow up on agreed action items from meetings.
  • Provide e-mail management support including organisation and filtering of e-mail inbox.
  • Assist with planning and delivery of corporate, regional and any special events
  • Preparation of PowerPoint presentations as required
  • Produce, print, collate information, organise and ensure the distribution of papers/reports in advance of meetings and seminars.
  • Support with dealing with direct contact with customers, suppliers and sub-contractors
  • Provide administrative support as required by the Managing Director and direct reports
  • File management including collating and filing expenses.
  • Raise orders using COINs
  • Approve holiday requests on behalf of Direct reports
  • Provide assistance to HR as and when required
  • Manage the day-to-day smooth running of the regional office
  • Provide cover as required for the Managing Director in their absence

Experience:

  • Strong verbal and written communication skills is essential
  • Excellent attention to detail.
  • Excellent organisation and people management skills.
  • Ability to prioritise and multitask efficiently.
  • Ability to respect confidentiality whilst also acting with discretion and tact is essential
  • Proficiency in Microsoft Office programs.
  • Flexible, hands-on approach
  • Full UK driving license is essential
  • A background in construction would be beneficial but not essential
